How it worksFrom a guest list to a calm arrival day.
GroupArrivals turns a list of travelers and flight numbers into a live board for your team, a check-in screen for the airport and a board for your client. Here is each step.
Six steps, from list to last arrival
- 1
Create a group
Give it a name, the dates, the airports and the language. The time zone comes from the main airport, so every time on the board is local.
- 2
Upload your list
Upload a CSV or Excel file. GroupArrivals matches the columns for you, such as name, flight number, date and direction, and shows a preview with any row that needs a look before you save. Connecting flights go in as separate legs.
- 3
Or let guests add their own flight
Share a link or a QR code. A guest picks their name and types their flight numbers. You see those flights marked as added by the guest.
- 4
We track every flight
Each flight is followed from the day before departure until it lands: delays, cancellations, diversions, terminal, gate and baggage belt. Your team gets an email and a push alert when a flight passes the delay limit you set.
- 5
Check people in at the airport
Send each greeter a check-in link for their airport, day or flight. They search a name and tap Check in. It works with no signal and syncs later. On departure day, they tap Boarded.
- 6
Keep your client posted
Share a live board through a private link with no login. Send an end-of-day summary by email. Download CSV manifests per day, airport or flight.

Sample flights and travelers, drawn to show the real screens.
Departure day works the same way.
The board shows every departing flight and who is on it. Your staff mark travelers as boarded, and you see who still has to leave.

Good to know
Files it reads
CSV and Excel files, with the columns in any order. A column it cannot place is shown to you instead of being guessed.
Group sizes
From 15 travelers to 3,000 in one group. A big incentive and a small wedding work the same way.
Languages
The app, the links and the emails are in English and Spanish. Each guest and client link has a language switch.
On the phone
Open GroupArrivals in your phone's browser and add it to your home screen. Push alerts work there too.
Questions about how it works
What do I need to start?
Only an email address to start. Create a group, upload your list and see it on the board. You pay when you want live tracking.
Which file formats can I upload?
CSV and Excel (XLSX). Each row is a traveler or a flight leg. GroupArrivals recognizes common column names and asks you about any column it cannot match.
What happens when a flight is delayed?
The board updates on its own, and when the delay passes your limit (30 minutes unless you change it), your team gets an email and a push alert. If it gets much worse, they hear again.
Does airport check-in work without signal?
Yes. Taps are saved on the phone and sent as soon as the phone is back online. Two greeters can work the same flight at the same time.
Can I change a traveler's flight?
Yes. Edit or replace a leg and note the reason. The history of the change is kept on the traveler.
Try it with your next group.
Upload your list and see it on the board before you pay.
